Privacy notice

Pursuant to Article 13 (1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (Official Journal of the EU L 119 of 4 May 2016, p. 1, as amended) (hereinafter: the GDPR), please be advised that:

  1. The controller of your personal data is the Henryk Niewodniczański Institute of Nuclear Physics of the Polish Academy of Sciences, ul. Radzikowskiego 152, 31-342 Kraków.

  2. The Data Protection Officer can be contacted at dpo@ifj.edu.pl.

  3. Your personal data will be processed on the following grounds:

    • Art. 6 (1) (b) of the GDPR (processing necessary to perform the conference participation agreement),
    • Art. 6 (1) (c) of the GDPR in order to settle the conference, on the basis of the provisions of tax and accounting law, personal data obtained for the purpose of issuing entry-passes and data from video monitoring will be processed pursuant to Art. 6 (1) (f) (processing is necessary for the purposes of the legitimate interests pursued by the controller), in accordance with the Regulations for admission to IFJ PAN premises, in order to ensure security,
    • Art. 6 (1) (a) of the GDPR in order to inform about future scientific events organized by IFJ PAN and publish lists of event participants and conference photo on websites related to the activities of IFJ PAN and in the conference proceedings
    • Article 6 (1) (a) and/or art. 9 (2) (a) of the GDPR for the purpose of preparing proper meals with regard to allergies and food preferences.
  4. You have the right to withdraw you consent at any time, without affecting the lawfulness of processing based on the consent given before its withdrawal. In order to withdraw you consent, please send an e-mail to: dpo@ifj.edu.pl

  5. Your personal data may be disclosed to the following recipients or categories of recipients:

    • entities that cooperate with IFJ PAN as part of scientific cooperation and providers, of necessary services under the relevant agreements (e.g. courier and postal services),
    • entities and institutions authorized to access or obtain personal data under provisions of law (e.g. the police, court),
    • anyone who has access to the Internet and the lists of conference participants and photos published there – if you consent to the processing of your personal data for the purpose of publishing the list of conference participants and photos on the website,
  6. Your personal data will be retained:

    • under the provisions of the law on archiving documents and in accordance with the Uniform Material List of Files in force at IFJ PAN for a period of 5 years, counting from 1 January of the year following the final settlement of the case (data necessary for the purpose of the organization and accounting of the conference),,
    • in order to publish the list of participants on the conference website and to prepare proper meals until the end of the conference,
  7. Your personal data will not be subject to automated processing, including profiling.

  8. You have the following rights:

    • the right to access your data and the right to receive a copy of your data,
    • the right to rectification (correction) of your data,
    • the right to the erasure of your personal data if the data processing is not necessary for the compliance with a legal obligation or for the exercise of official authority,
    • the right to restriction of processing,
    • the right to object to processing of personal data.
  9. You have the right to file a complaint with the President of the Personal Data Protection Office (to the address of the Personal Data Protection Office, ul. Stawki 2, 00-193, Warsaw; www.uodo.gov.pl)if you believe that your personal data are being processed contrary to the law.
