§1
Time and duration

1. The Superconductivity & Particle AcceleratorS 2024 (SPAS 2024) is organized by the Institute of Nuclear Physics Polish Academy of Sciences (IFJ PAN) and takes places from 21st to 24th  October 2024 r. (hereinafter referred to as „Conference”)
2. The participant acknowledges that registering for the Conference is equivalent to accepting these Terms and Conditions.
3. Detailed information about the Conference and the program can be found on the Conference website: spas.ifj.edu.pl

§2
Registration of the participation in the Conference

1. A participant of the Conference is every person who takes part in it.
2. Participation in the Conference is possible on the basis of prior registration.
3. Participation in events requiring prior registration is not possible without registration.
4. The condition for participation in the conference is the acceptance of the terms and conditions and the policy of personal data processing. Registration is done by mandatory providing the name, surname, e-mail address, affiliation, as well as accepting the terms and conditions and the policy of personal data processing. Optionally, the participant may provide invoice data, if he/she requests an invoice, food preferences to be taken into account by the conference organizer, consent to display personal data and consent to send data about future conferences. Registration is carried out via the registration form on the indico.ifj.edu.pl platform available from the conference website spas.ifj.edu.pl
5. Registration will start on 14th March 2024 and finish on 30th September 2024.

§3
Rules of participation in the Conference

1. Participants accept the established rules of the course of the Conference, its program and undertake not to alter or disturb the course of the Conference.
2. The Institute of Nuclear Physics Polish Academy of Sciences, as the organizer of the Conference, plans to conduct a photo report of the Conference for the following purposes: documentation (e.g. reports), information (available on the Conference website spas.ifj.edu.pl and www.ifj.edu.pl with information about the Conference and its course), promotional (e.g. website www.ifj.edu.pl, profiles of IFJ PAN in social media) and archiving (recordings and photo coverage). 
3. By participating in the Conference, the Participant agrees to the recording and use of her/his image for the purpose indicated in §3 (2), without the right to remuneration in this respect. The consent covers the dissemination by IFJ PAN of the image recorded in connection with the participation in the Conference by: recording, reproducing using any techniques, disseminating, using, placing on the market, lending, performance, including public performance, inserting, displaying, broadcasting, public sharing, archiving, in particular on the website of IFJ PAN, on the profiles of IFJ PAN in social media.

§4
Terms and Conditions change

1. These Terms and Conditions are made available to participants on the indico.ifj.edu.pl platform available from the spas.ifj.edu.pl website.
2. The Institute of Nuclear Physics Polish Academy of Sciences reserves the right to amend the Terms and Conditions, in particular due to a change in generally applicable law and the need to adapt the Terms and Conditions to this change, change the Conference program, and increase the Conference safety measures.
3. The amendment to the Terms and Conditions will come into force upon its publication on the indico.ifj.edu.pl platform available from the spas.ifj.edu.pl website.

§5
Safety rules

1. It is forbidden to manifest a worldview, especially political views, during the Conference. 
2. It is forbidden to conduct commercial, promotional and advertising activities during the Conference, except for cases when a given entity has obtained a separate consent from the Conference organizer.

§6
Processing of the personal data

Pursuant to art. 13 (1) and (2) of  Regulation of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (Official Journal of the European Union L 119 of 4 May 2016) the IFJ PAN informs you that:

1. The controller of your personal data is the Henryk Niewodniczański Institute of Nuclear Physics Polish Academy of Sciences (IFJ PAN), ul. Radzikowskiego 152, 31-342 Kraków, represented by the Director of IFJ PAN.

2. The IFJ PAN appointed the Personal Data Protection Officer. You can contact the Data Protection Officer by e-mail at: dpo@ifj.edu.pl

3. Your personal data will be processed pursuant to:

• art. 6, item. 1 letter b of the General Data Protection Regulation of 27 April 2016 (processing necessary for the execution of the conference participation contract),
• art. 6, item. 1 letter c of the General Data Protection Regulation of 27 April 2016 in connection with the provisions of the Accounting Act of 29 September 1994 for the purpose of book-keeping and tax documentation managing,
• art. 6 item 1, letter a of the General Data Protection Regulation of 27 April 2016 (if the consent has been given) for the purpose of  informing about future scientific events,   publishing the list of participants on the conference website and preparing meals during the  conference dinner in accordance with your food preferences.

4. The recipients of your personal data will be solely: 

• entities cooperating with IFJ PAN within the framework of scientific collaborations or providing services for IFJ PAN (courier, postal, publishing and internet services for  IFJ PAN)
• entities and institutions authorized to access or receive personal data on the basis of legal provisions (e.g. court, police, tax authorities),
• all persons having access to the Internet and  to the lists of conference participants published there, if your consent has been given to the processing of personal data in order to publish the list of conference participants at the indico.ifj.edu.pl platform available from the conference website: spas.ifj.edu.pl

5. Your personal data will be retained 

• for the proper organization and settlement of the conference based on the provisions of the law on archiving documents and in accordance with the Uniform List of Files in force at  IFJ PAN - for a period of 5 years, counting from January 1 of the year following the final settlement of the case
• for the purpose of informing about future scientific events organized by IFJ PAN - until the consent for processing is withdrawn,
• for the purpose of publishing the participants’ list on the conference website and in order to prepare proper meals during the conference - until the conference is finished.

6. Your personal data will not be subject to automated processing, including profiling.

7. You have the right to:

• demand access to your personal data and receive a copy of your personal data,
• rectification (correction) of your personal data,
• withdraw your consent at any time, without affecting the lawfulness of processing based on the consent given before its withdrawal,
• erasure of your personal data if the data processing is not necessary for the compliance with a legal obligation or for the exercise of official authority,
• restriction of processing of your personal data,
• lodge a complaint to the President of the Office for Personal Data Protection (ul. Stawki 2, 00 - 193 Warszawa)

8. Providing personal data necessary for the correct registration of participation is a condition for participation in the conference. Providing other data is voluntary.

§7
Final provisions

1. The Conference Organizer reserves the right to cancel the Conference, change the program and the formula. The cancellation of the Conference will be announced on the Conference website referred to in  §1 (3). The Conference Organizers will not be obligated to the Participants to any compensation or damages in this respect, or to reimburse the costs incurred in connection with the participation in the Conference.
2. In matters not covered by these Terms and Conditions, generally applicable provisions of law shall apply.

REGULAMIN KONFERENCJI „SPAS 2024”

§1
Termin i czas trwania

1. Konferencja Superconductivity & Particle AcceleratorS 2024 (SPAS 2024) organizowana jest przez Instytut Fizyki Jądrowej PAN i odbywa się w dniach od 21 do 24 października 2024r. ( zwanej dalej w treści regulaminu jako „Konferencja”)
2. Uczestnik przyjmuje do wiadomości, że zarejestrowanie się na Konferencję jest równoznaczne z zaakceptowaniem niniejszego Regulaminu.
3. Szczegółowe informacje o Konferencji i programie znajdują się na stronie internetowej konferencji: spas.ifj.edu.pl

§2
Rejestracja udziału w Konferencji

1. Uczestnikiem Konferencji jest każda osoba, która się zarejestruje.
2. Udział w Konferencji możliwy jest na podstawie uprzedniej rejestracji.
3. Uczestnictwo w wydarzeniach wymagających wcześniejszej rejestracji nie jest możliwe bez jej dokonania.
4. Warunkiem uczestnictwa w konferencji jest akceptacja regulaminu i polityki przetwarzania danych osobowych. Rejestracja odbywa się przez obowiązkowe podanie imienia, nazwiska, adresu e-mail, afiliacji, a także zaakceptowania regulaminu i polityki przetwarzania danych osobowych. Opcjonalnie uczestnik może podać dane do faktury, jeżeli życzy sobie fakturę, preferencje żywieniowe celem ich uwzględnienia przez organizatora konferencji, zgodę na wyświetlanie danych osobowych oraz zgodę na wysyłanie danych o przyszłych konferencjach. Rejestracja prowadzona jest poprzez formularz rejestracji na Platformie indico.ifj.edu.pl dostępny z poziomu strony internetowej konferencji spas.ifj.edu.pl
5. Rejestracja rozpocznie się w dniu 14 marca 2024r. i zakończy się w dniu 30 września 2024r.

§3
Zasady udziału w Konferencji

1. Uczestnicy akceptują ustalone reguły przebiegu konferencji, jej programu oraz zobowiązują się nie wpływać na jego zmianę i nie zakłócać przebiegu Konferencji.
2. Instytut Fizyki Jądrowej Polskiej Akademii Nauk jako organizator planuje przeprowadzenie fotorelacji z Konferencji dla celów dokumentacyjnych ( np. raportów i sprawozdań), informacyjnych  ( dostępnych na stronach internetowych: spas.ifj.edu.pl oraz www.ifj.edu.pl z informacja o konferencji i jej przebiegu), promocyjnych  ( na stronie www.ifj.edu.pl oraz profilach IFJ PAN w mediach społecznościowych) i archiwizacji  (w zakresie nagrań i fotorelacji).
3. Uczestnik biorąc udział w Konferencji wyraża zgodę na utrwalenie i wykorzystanie swojego wizerunku w celach wskazanych w §3 ust. 2, bez prawa do wynagrodzenia z powyższego tytułu. Zgoda obejmuje rozpowszechnianie przez IFJ PAN wizerunku utrwalonego w związku z udziałem w Konferencji poprzez: utrwalanie, zwielokrotnianie przy użyciu wszelkich technik, rozpowszechnianie, korzystanie, wprowadzenie do obrotu, użyczenie, publiczne wykonanie, wstawienie, wyświetlanie, odtworzenie, nadawanie, publiczne udostępnianie, archiwizację, w tym w szczególności na stronie internetowej IFJ PAN, na profilach w mediach społecznościowych.

§4
Zmiana Regulaminu

1. Regulamin jest udostępniony uczestnikom na platformie indico.ifj.edu.pl dostępnej z poziomu  strony internetowej spas.ifj.edu.pl
2. Instytut Fizyki Jądrowej Polskiej Akademii Nauk IFJ PAN zastrzega sobie prawo zmiany Regulaminu, w szczególności z powodu zmiany obowiązujących przepisów prawa i konieczności dostosowania Regulaminu do tej zmiany, jak również zmiany programu Konferencji i zwiększenia środków bezpieczeństwa towarzyszących Konferencji.
3. Zmiana regulaminu wejdzie w życie z chwilą jego publikacji na platformie indico.ifj.edu.pl dostępnej z poziomu strony internetowej spas.ifj.edu.pl

§5
Zasady bezpieczeństwa

1. Podczas konferencji zakazane jest manifestowanie światopoglądu, w tym w szczególności poglądów politycznych.
2. Zabrania się prowadzenia podczas Konferencji działalności handlowej, promocyjnej, reklamowej z zastrzeżeniem przypadków kiedy dany podmiot uzyskał zgodę organizatora Konferencji.

§6
Przetwarzanie danych osobowych

Zgodnie z art. 13 ust. 1 i ust. 2 rozporządzenia Parlamentu Europejskiego i Rady (UE) 2016/679 z 27 kwietnia 2016 r. w sprawie ochrony osób fizycznych w związku z przetwarzaniem danych osobowych 
i w sprawie swobodnego przepływu takich danych oraz uchylenia dyrektywy 95/46/WE (Dz. Urz. UE L 119 z 04.05.2016, str. 1, z późn. zm.) (dalej: RODO) informujemy, że:

1. administratorem Pani/Pana danych osobowych jest Dyrektor Instytutu Fizyki Jądrowej im. Henryka Niewodniczańskiego Polskiej Akademii Nauk, ul. Radzikowskiego 152, 31-342 Kraków,
2. kontakt z Inspektorem Ochrony Danych Osobowych możliwy jest pod adresem dpo@ifj.edu.pl,
3. Pani/Pana dane osobowe przetwarzane będą na podstawie:
   - art. 6 ust. 1 lit. b RODO (przetwarzanie niezbędne do wykonania umowy uczestnictwa 
   w konferencji),
   - art. 6 ust. 1 lit. c RODO, w związku z przepisami ustawy z dnia 29 września 1994 r. o rachunkowości w celu związanym z prowadzeniem ksiąg rachunkowych i dokumentacji podatkowej,
   - art. 6 ust. 1 lit. a. RODO (w przypadku wyrażenia zgody w celu informowania o przyszłych wydarzeniach naukowych oraz w przypadku wyrażenia zgody na opublikowanie listy uczestników na stronie internetowej konferencji oraz w przypadku wyrażenia zgody na udział w kolacji konferencyjnej preferencji żywieniowych.
   Następnie Pani/Pana dane będą przechowywane w celu wypełnienia obowiązku archiwizacji dokumentów wynikającego z ustawy z dnia 14 lipca 1983 r. o narodowym zasobie archiwalnym 
   i archiwach.
4. Pani/Pana dane będą udostępniane następującym odbiorcom lub kategoriom odbiorców:
   a) podmiotom współpracującym z IFJ PAN w ramach współpracy naukowej oraz dostawcom niezbędnych usług na podstawie stosownych umów ( usługi kurierskie, pocztowe, wydawnicze oraz internetowe dla IFJ PAN),
   b) podmiotom i instytucjom upoważnionym do dostępu lub otrzymania danych osobowych na podstawie przepisów prawa ( np. sąd, policja, organy podatkowe),
   c) wszystkim osobom mającym dostęp do Internetu i opublikowanych tam list uczestników konferencji w przypadku wyrażenia przez Panią/Pana zgody na przetwarzanie danych osobowych w celu publikacji listy uczestników konferencji na platformie indico.ifj.edu.pl dostępnej z poziomu strony internetowej spas.ifj.edu.pl
5. Pani/Pana dane będą przechowywane:
   - w celu prawidłowego zrealizowania i rozliczenia konferencji na podstawie przepisów prawa 
   o archiwizacji dokumentów oraz zgodnie z obowiązującym w IFJ PAN Jednolitym Rzeczowym Wykazem Akt – przez okres 5 lat, licząc od 1 stycznia roku następnego po ostatecznym załatwieniu sprawy,
   - w celu informowania o przyszłych wydarzeniach naukowych organizowanych przez IFJ PAN - do momentu cofnięcia zgody na przetwarzanie,
   - w celu publikacji listy uczestników na stronie internetowej konferencji oraz w celu przygotowania właściwych posiłków w czasie konferencji - do zakończenia konferencji.
6. Pani/Pana dane osobowe nie będą podlegały zautomatyzowanemu przetwarzaniu, w tym profilowaniu,
7. Posiada Pani/Pan prawo do:
   - dostępu do swoich danych oraz otrzymania ich kopii,
   - do sprostowania (poprawiania) swoich danych,
   - do cofnięcia zgody w dowolnym momencie bez wpływu na zgodność z prawem przetwarzania, którego dokonano na podstawie zgody przed jej cofnięciem,
   - do usunięcia danych osobowych (nie dotyczy sytuacji, gdy przetwarzanie danych jest niezbędne do wywiązania się z obowiązku wynikającego z przepisu prawa),
   - do ograniczenia przetwarzania danych,
   - do wniesienia skargi do Prezes UODO (na adres Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00 - 193 Warszawa),
8. Podanie przez Panią/Pana danych osobowych niezbędnych do prawidłowego zarejestrowania uczestnictwa jest warunkiem udziału w konferencji. Podanie pozostałych danych jest dobrowolne. 

§7
Postanowienia końcowe

1. Organizator Konferencji zastrzega sobie prawo do odwołania Konferencji, zmiany programu i formuły. W przypadku odwołania konferencji informacja zostanie ogłoszona na stronie internetowej Konferencji, o której mowa §1 ust.3. Organizatorzy Konferencji nie będą wobec Uczestników zobowiązani do żadnej rekompensaty lub odszkodowania z tego tytułu, ani do zwrotów kosztów poniesionych celem uczestnictwa w Konferencji, z wyjątkiem zwrotu opłaty konferencyjnej.
2. W sprawach nieuregulowanych Regulaminem zastosowanie mają powszechnie obowiązujące przepisy prawa.
